This policy explains what personal information ShiftSetu ("we", "us") handles when you use ShiftSetu, why we handle it and what choices you have.
1. Who this policy covers
- Visitors to this website, including people who write to us through the contact form.
- Account holders: moving companies that use ShiftSetu, and the staff they give a login to.
- Customers of those moving companies, whose details a moving company enters in order to carry out a move.
For information that a moving company enters about its own customers, that company decides what is collected and why. We store and process it on the company's behalf. If you are a customer of a moving company and have a question about your information, please contact that company first.
2. Information we handle
Information you give us
- Account details: your name, email address, phone number and password, and your company's name, address, tax number, logo and settings.
- Business records you create: customers and their contact details and addresses, orders, item lists, shipment updates, vehicles, employees, payments, invoices, delivery confirmations, and the documents, photos and signatures you upload.
- Messages: when you use the contact form we keep your name, email address, phone number, company and message so that we can reply.
Information recorded automatically
- Sign-in and security records: your IP address, browser type and the time of your last activity are stored with your session while you are signed in.
- Activity log: actions taken in a company account, such as creating or changing an order, are recorded with the user, the time, the IP address and the browser type, so the company can see who did what.
Passwords are stored in hashed form. We cannot read them.
3. How we use information
- To provide the service: to show your orders, shipments, payments and reports, and to display tracking pages.
- To keep accounts secure, prevent misuse and investigate problems.
- To send messages that the service needs, such as a password reset email.
- To answer your questions and provide support.
- To meet legal obligations.
We do not sell personal information, and we do not use it for advertising.
4. Tracking pages
Each order has a tracking number. Anyone who has that number can open the tracking page for the order. The page shows the shipment status, the pickup and delivery cities, dates and the history of public updates. The moving company chooses whether the customer's name and the full addresses are also shown. Prices, payments, internal notes and private updates are never shown on a tracking page.
5. Cookies
We use only the cookies that the service needs to work:
- a session cookie that keeps you signed in,
- a security cookie that protects forms against forged requests, and
- a "remember me" cookie, only if you tick that option when signing in.
We do not use advertising or third-party analytics cookies.
6. Who we share information with
- Within a company account: information is visible to the users of that company, according to the permissions the company sets.
- Service providers who host the application or deliver email for us, under obligations to protect the information.
- Authorities, when the law requires it.
One company's records are never shown to another company.
7. How long we keep information
We keep account information and business records for as long as the account is open. When an account is closed we delete or anonymise its records within a reasonable period, unless we must keep them longer to meet a legal obligation. Messages sent through the contact form are kept for as long as needed to deal with the request.
8. Security
Access to each company's records requires a login, and permissions limit what each user can see and change. Uploaded documents are stored privately and are only served to signed-in users with the right permission. No system is perfectly secure, so please use a strong password and tell us at once if you believe an account has been misused.
9. Your choices
- You can see and correct most of your information from within your account.
- You can ask us for a copy of your personal information, or ask us to correct or delete it.
- If your information was entered by a moving company, please send your request to that company. We will help them respond.
10. Children
ShiftSetu is a tool for businesses. It is not directed at children, and we do not knowingly collect information from them.
11. Changes to this policy
If we change this policy we will post the new version on this page and update the date at the top. If a change is significant we will tell account holders in advance.
